ARCHIVES FORMS
To make a donation to the Archives of the North Grenville Historical Society, there is formal procedure to follow. This involves the filling out of two forms and a process called "Accessioning." The first form, which you can find by clicking on the image called "Temporary Gift Form," should be filled out before you contact us. This tells us what you are proposing to give, how it came into your possession, what it was used for and by whom, and certain other details. Once you have handed over your proposed gift, it is our responsibility to look after it and to decide whether it will fit into our collection, whether we have room for it, and whether we can afford to look after it properly. The signed copy of the "Temporary Gift Form" is your receipt. We prefer to add original manuscripts, documents and objects that have a direct link to North Grenville and the people who spent most of there lives here.
The Accessions Committee will consider whether we can accept your proposed gift and inform you of its decision in a reasonable period of time. If your gift is accepted, we will ask you to fill out the second form, the "Gift Agreement Form," transferring ownership to the North Grenville Historical Society. Any conditions you may wish to place on your gift, its care and use will be discussed at this time. You may wish to have a scanned copy of a document, for example. You may wish us to provide a photograph of an object. You may wish us to acknowledge the source of the gift in a particular way whenever it is included in an exhibit or showed to the public in any way.
If you have any questions, do not hesitate to contact us for assistance. We welcome gifts. That is how we grow and serve the people of North Grenville and other researchers better. Our ultimate aim is to build a collection that accurately reflects the history of North Grenville and includes as much of its documented past and as many objects as we can accommodate to illustrate the lives lived in its farmland and communities.
You may download either of these forms and fill them out by hand. Or you may download the form, fill it in on your computer, and save a copy to bring with your gift. You will need a hard copy to sign. Please remember to rename the "Temporary Gift Form" with your name, so we can file it appropriately.
